Richardson Direct Primary Care

Cancellation and Refund Policy

Effective date: October 15, 2026

This policy is part of your Membership Agreement. Where this summary and the signed agreement differ, the agreement controls.

1. Canceling your membership

You may cancel at any time, for any reason, with thirty days’ written notice. No explanation is required. Email support@richardsondpc.com, write to us, or send a message through the patient portal. Any of those is sufficient.

Your membership and access to care continue through the thirty-day notice period.

We may also end a membership with thirty days’ written notice, for any lawful reason, including non-payment or repeated late payment; abusive, threatening, or harassing conduct toward the physician or anyone working with the practice; fraud or material misrepresentation, including misrepresentation of identity or of your location; violation of a material term of the Membership Agreement; where your care needs fall outside what this practice can safely provide; where you no longer reside in North Carolina or can no longer reliably be physically present in North Carolina for scheduled visits; or where the practice ceases operations or the physician becomes unable to continue providing care. In practice we expect this to be rare. If we end your membership, we will comply with our professional obligations regarding continuity of care, help you transition to another physician, and provide one complete copy of your records at no charge.

2. Refunds on monthly memberships

If you pay monthly, you will not be billed after your notice period ends. There is nothing to refund. You have paid for the month you received.

3. Refunds on six-month and annual prepayments

If you prepaid for six months or a year and cancel before the term ends, or if we end your membership before the term ends:

· We refund the amount you paid, less the full months of membership you received through the end of your thirty-day notice period, charged at the standard monthly rate for your age tier.

· Prepayment discounts are earned by completing the term. If you leave early, the months you used are priced at the standard rate and the balance is returned to you. A refund will never exceed the amount you paid.

· Partial months are not refunded.

· Refunds are issued to the original payment method within thirty days.

A worked example. You are 38 years old and prepaid $935 for a year, which is eleven months’ price for twelve months of care. You cancel in month four and your notice period runs through the end of month five, so you received five full months. Your refund is $935 less five months at $85, or $510.

4. Enrollment fees

Enrollment fees are not refundable. The one-time fee of $75 per individual or $125 per household covers onboarding, records setup, and your initial intake, and that work is done whether or not you stay.

If you cancel and later rejoin more than sixty days after your membership ended, a new enrollment fee applies at the then-current rate.

5. Founding member rates

If you enrolled as one of the first fifty members, your rate is locked for twelve months from your enrollment date. After that period ends, your rate moves to the then-current published rate for your age tier, on at least thirty days’ written notice. If you cancel, the founding rate does not survive. Rejoining means enrolling at the then-current published rate.

6. Appointments

Members are never charged a cancellation or no-show fee. Ever.

We ask that you let us know if you cannot make a scheduled visit, so the time can go to someone else. But you will never receive a bill for a missed appointment.

If missed appointments become a pattern, we will have a conversation about it. We will not send you an invoice.

7. One-time visits for non-members

Applies only to single paid visits by people who are not members.

· Payment is due at booking.

· Cancel or reschedule with at least two hours’ notice: one free reschedule, to be taken within thirty days of the original date, or a full refund if you prefer.

· Less than two hours’ notice, or no-show: the visit is not refunded.

· If you are too unwell to attend, call us anyway. We would rather find another way to help you than enforce a policy.

· If we cancel or reschedule, or the visit cannot go ahead for a reason on our side, you are not charged. If your own connection fails and we cannot complete the visit, call us and we will reschedule you at no charge.

8. Fee changes

We may change published rates with at least thirty days’ written notice to existing members. If you do not accept a rate change, you may cancel before it takes effect and receive any refund due under this policy.
